Block Bookings

We are changing the way we are doing block bookings this year to make the process more straightforward, please see below an explanation of the new process and some common questions. We'll keep updating this page with new questions we get from other lead bookers so please check back regularly.

Block Booking Process

  1. Download and fill in this document detailing the number of each delegate package you would like to purchase, invoice details and if applicable, hotel preferences. Unlike previous years, we do not require individual delegate's details to be submitted. 
  2. Once completed, please send to [email protected], the team will confirm receipt of the block booking and issue an invoice. 
  3. After payment is made we will issue several discount codes which are linked to the different package types and confirm the hotel(s) assigned to your group. 
  4. You distrubute the codes to the delegates who will attend. 
  5. They register on the website, select 'yes' to 'Do you have a discount code for a block booking?' and enter the code provided. 
  6. Entering the code will set their delegate package and accommodation, where applicable. 
  7. They continue through registration, completing all pages.
  8. The discount code will automatically be applied on the payment page so the amount shows as £0, to complete registration delegates will need to click 'Continue'.

1. What is the minimum number of delegates for a block booking?

The minimum number of delegates for a block booking is 16. For groups of 15 or less, please register via the website.

2. Can the delegates register before we receive the discount codes so their places are reserved?

No, delegates who intend to be part of a block booking cannot register prior to discount codes being distributed. As per the terms and conditions, the place is booked and fees are due as soon as registration is complete. If a delegate registers before discount codes are distributed, they will need to make payment for that registration. 

3. During registration, why do delegates see the payment page when their registration has been paid via the block booking?

All delegates will see the payment page during registration. If the block booking discount code has been correctly applied, the amount will be £0.

If the payment is not showing as £0, please do not continue and contact us. If the delegate continues and selects a payment method, we must be notified within 48 hours to correct this error. If more than 48 hours have passed, the delegate will need to pay for the duplicate registration.

4. Someone in my organisation has registered on the website and chosen to pay offline but has not paid their invoice yet, can I give them a discount code?

After their place is confirmed, a delegate cannot join a block booking. As per the terms and conditions, the place at the conference is booked and fees are due as soon as registration is complete. 

If there is a difference in the delegate packages booked, the delegate may find a substitute for their original registration and can then join the block booking. To make the substitution, the delegate will need to contact us

5. When will I find out what hotel my block booking is staying in?

If you have booked packages which include accommodation, the hotel will be confirmed at the same time we provide you with discount codes. If your group is in multiple hotels, you will have different discount codes for each hotel, you can then allocate members of your group to the hotels by giving them the relevant discount code. 

If you have any delegates with special requirements regarding their hotel, for example, wheelchair accessible rooms, please let us know when you submit your block booking form. We will make every effort to keep all members of your group in the same hotel but in some case this may not be possible.

6. Will the delegates be able to see their own accommodation?

Yes, once they complete registration, they will see their assigned hotel on the regsitation confirmation page. 

7. How can I check who from my block booking has registered?

Please email [email protected] to request the list of delegates who have registered using your group's discount codes.

8. One of the delegates has registered as part of the block booking but is no longer able to attend, can someone attend in their place?

Please ask the delegate who has already registered to login and cancel their registration. This will free up the discount code for their replacement to use.

In line with the terms and conditions, substitutions are allowed before Friday 17 January for no additional charge. Substitutions can be made after Friday 17 January 2025 and before Friday 24 January 2025 but are subject to approval and will incur a £75+VAT admin charge for immediate payment by credit or debit card.

9. Why are there multiple discount codes for my block booking?

You will receive a different discount code for each type of delegate package you have booked. The codes will have enough uses for the number of packages you have purchased.

Please keep track of the number of codes you have distubuted. If you distribute the code to too many people, they will see the full cost of the conference ticket, if this does happen, please advise them not to continue and to email [email protected].

10. We have seen that there are limited spaces remaining on the conference, are our places secured even if the individual delegate have not registered?

Yes, as long as we have acknowledged we have received the block booking form, we have reserved your spots so your delegates do not need to worry that they have not completed registration on the website yet. 

11. When do you need all delegates to be registered using the discount code?

All of your discount codes must be used by 17 January 2025. We advise distrubuting the discount codes once issued to allow plenty of time for your delegates to register.

If you know some of your delegates will not be able to register until after the deadline, please let us know; in cases such as these, while we will make every effort to ensure accessibility and dietary requirements are accommodated, we cannot guarantee it if registering after 17 January.
